This Privacy Policy applies to all users of The Owners Club worldwide, regardless of location. We are committed to a single, high standard of privacy for every member. Where local law imposes additional requirements — such as in the European Union, United Kingdom, United States, Canada, or Australia — we comply with those frameworks as applicable.
Information We Collect
At The Owners Club, we collect information necessary to provide you with our services:
- Account Information: Email address, name, and authentication credentials
- Vehicle Data: Registration or licence plate numbers, make, model, year, inspection and compliance history, and maintenance records
- Usage Data: How you interact with our services to improve user experience
- Document Data: Images and documents you upload to your garage and service records
How We Use Your Information
We use your information to:
- Provide and maintain our vehicle management services
- Import and display your vehicle's history and technical specifications from national vehicle registries and third-party automotive data providers (such as the DVSA in the UK)
- Send you important notifications and reminders
- Improve our services and develop new features (including AI-assisted vehicle specifications)
- Ensure the security and integrity of our platform
Data Security
We implement industry-standard security measures to protect your data:
- Encrypted data transmission (HTTPS/TLS)
- Secure authentication via NextAuth
- Regular security audits and updates
- Access controls to ensure only you can view your data
International Data Transfers
The Owners Club operates globally, and our technical infrastructure may be located in countries outside your home jurisdiction (primarily the United States and the European Economic Area). By using our services, you acknowledge that your information may be transferred to, stored in, and processed in these regions.
We ensure all cross-border transfers comply with secure legal mechanisms, including Standard Contractual Clauses (SCCs) and data processing agreements that provide a level of data protection equivalent to your local laws.
Third-Party Services
We use the following third-party services:
- NextAuth: Secure authentication and session management
- National Vehicle Registries (e.g. DVSA API for UK metrics): Automotive history and compliance data retrieval
- Stripe: Payment processing for subscriptions
- PostgreSQL (Neon): Secure database storage
- Google AI (Gemini API): Processing and generating advanced vehicle technical specifications when you use Search Enhanced Specs. We send only non-personal vehicle attributes (such as make, model, year, fuel type, and trim) — not your name, email, or account identifiers.
These services have their own privacy policies and comply with applicable data protection laws.
Your Rights (Global Policy)
Regardless of your location, country, or jurisdiction, The Owners Club grants all users fundamental rights over their personal data. Depending on where you live, these rights may be legally enforced by frameworks such as GDPR (EU), UK GDPR (UK), CCPA/CPRA (USA), PIPEDA (Canada), or the Privacy Act (Australia).
You have the right to:
- Access & Portability: Request a copy of your personal and garage data
- Correction: Request updates to inaccurate or incomplete information
- Erasure ("Right to be Forgotten"): Permanently delete your account and associated personal data
- Restriction & Objection: Object to or restrict how we process certain data points
- Withdraw Consent: Where processing is based on consent, withdraw it at any time
US Residents Notice: We comply with applicable state privacy laws, including the CCPA/CPRA. The Owners Club does not sell, rent, or share your personal information or vehicle data with third-party data brokers or advertisers for financial gain. All data sharing is strictly limited to the operational third-party services listed in this policy that are necessary to run the platform.

Account Deletion & Data Erasure
If you delete your account (Settings → Delete Account), we apply a hybrid erasure model aligned with our global privacy standards and applicable law. Your personal data is removed; selected community contributions may be retained in anonymised form so other members can still benefit from shared knowledge.
What we permanently delete
- Your account credentials and profile (email, name, phone, avatar, address fields)
- All vehicles in your garage and their service history, documents, and photos
- Workshop jobs, reminders, notifications, and private inventory data
- Files you uploaded for personal use (e.g. glovebox documents, vehicle photos) from our storage
- Sessions, devices, and other authentication records linked to your account
What we anonymise (community knowledge)
Content you published for the benefit of the community may be retained without personal identifiersand re-attributed to a generic author ("Former Member"). This includes, where applicable:
- Tech guides and tutorials (including images embedded in the guide)
- Forum topics, posts, and comments
- Community posts and shared parts listings
- Approved resource submissions
External links (for example YouTube or manufacturer documentation) remain in the content as ordinary URLs — we do not treat third-party links as personal data belonging to your account.
Images uploaded as part of a published community guide or post generally remain available so the tutorial stays usable. Images stored only for your private garage are deleted with your account.
Legal basis
We process erasure requests under your right to be forgotten. Where content is anonymised rather than deleted, we rely on our legitimate interest in maintaining a useful, searchable knowledge base for members, provided the content can no longer be linked to you as an identifiable individual.
Exceptions & special requests
- If anonymised content still contains identifying information (e.g. a visible registration plate or face), you may ask us to redact or remove specific material.
- You may request full deletion of specific community posts instead of anonymisation by contacting privacy@theownersclub.app. We will assess each request under applicable privacy law.
For a copy of your garage data before deletion, use the optional export offered in the delete-account flow. Erasure is permanent and cannot be undone.
Vehicle Transfers & Shared History
When a vehicle is digitally transferred to another member of The Owners Club (for example, upon sale), selected structural history is passed to the new keeper so the vehicle's legacy can continue on the platform. This may include make, model, year, technical specifications, vehicle photos, and service/logbook records attached to the transfer.
Personal data belonging to the previous owner is not transferred or is unlinked as part of this process. In particular:
- The seller's account identity, contact details, and private garage records remain with the seller
- The seller's mileage logs, expense claims, reminders, and insurance or tax details are not copied to the buyer's vehicle
- Workshop partner account links and verification tied to the seller are removed; only generic service descriptions may remain
- The seller's copy of the vehicle is archived (marked as sold/transferred) and removed from public visibility
